Sync QB Custom Fields

This guide explains how to synchronize custom fields configured on QuickBooks Online (QBO) transactions, such as invoices, with Salesforce using the QB Sync Made Easy application. It covers connecting your QuickBooks company, refreshing custom fields, configuring field mappings, and verifying data synchronization in both directions.

Custom Fields on QuickBooks Online Transactions (Invoices)

Step 1: Connect the QuickBooks Company and Open Setup

Connect the required QuickBooks Online company to Salesforce using the company connection option in QB Sync Made Easy. Once the company is connected, navigate to the Setup page to configure the synchronization settings.

Step 2: Click on "Re-Sync QB Custom field New" button and Verify the Successful Sync

Click the Re-Sync QB Custom Field button to refresh the custom fields configured in QuickBooks Online.

After the synchronization completes, verify that the success confirmation message appears. This indicates that the QuickBooks custom fields have been synchronized with the application.

Step 3: Click Save and Go To Next Page button

Step 4: Configure Field Mapping for QuickBooks Custom Fields

4.1 Select the Mapping Direction :

Choose the required mapping direction:

  • Salesforce to QuickBooks (SF to QB): Transfers field values from Salesforce to QuickBooks Online.

4.2 Select the Object

Select the relevant object, such as Invoice, and click the + icon to add a field mapping.

4.3 Map the Custom Fields:

Search for the required QuickBooks custom field in the field mapping section. Select the corresponding Salesforce field, configure the mapping, and save the changes.

Repeat this process for each custom field you want to synchronize.

Step 5: Verify Real-Time Data Synchronization from QuickBooks to Salesforce

After configuring the QB to SF field mapping, verify that the custom field values synchronize from QuickBooks Online to Salesforce in real time.

  • Open the relevant invoice in QuickBooks Online.
  • Update or populate the custom field with a test value.
  • Allow the real-time synchronization process to run.
  • Open the corresponding Salesforce record and verify that the custom field contains the expected value.

Compare the QuickBooks and Salesforce records to confirm that the mapped field values match.

Step 6: Configure and Verify Data Synchronization from Salesforce to QuickBooks

You can also configure custom field mapping in the SF to QB direction to synchronize data from Salesforce to QuickBooks Online.

  • Open the field mapping configuration in QB Sync Made Easy.
  • Select Salesforce to QuickBooks (SF to QB) as the mapping direction.
  • Select the relevant object and map the Salesforce field to the corresponding QuickBooks custom field.
  • Save the field mapping.
  • Update the mapped field in Salesforce and initiate synchronization as required by your configuration.
  • Open the corresponding QuickBooks Online invoice and verify that the expected custom field value has been transferred successfully.
